The paper guestbook sitting on the coffee table of most vacation rentals is a relic. It was always a compromise — readable by some guests, ignored by others, impossible to update between stays, and physically unable to show your WiFi QR code or link to Google Maps. In 2025, there's no good reason to keep using one. But the question of what to replace it with isn't settled yet. Let's walk through the real options.

Why Paper Guestbooks Don't Work Anymore

The core problem is that paper is passive. A guest has to actively pick it up, open it, find the right page, and read it. Nobody does this. They walk in, drop their bags, and immediately look for the WiFi password. If it's not immediately visible — on screen, printed on a sign, something they can scan — they text you.

Beyond that: paper guestbooks go out of date. The restaurant you recommended three years ago has closed. The parking code changed. The house rules you updated after a bad experience last summer never made it into the physical book. You're either reprinting and rebinding the thing between every stay, or you're leaving guests with outdated information.

What to Look for in a Digital Guestbook

Before comparing options, it's worth defining what "good" means for this category:

  • Always-on display — information should be visible without any guest action. A kiosk, not an app they have to open.
  • WiFi sharing — QR code that works, not just text they have to type.
  • House rules — displayed clearly, not buried. Guests who see rules on a screen can't credibly claim they didn't know.
  • Updateable remotely — change content between stays without visiting the property.
  • Low maintenance — it should run 24/7 without needing to charge it, restart it, or monitor it.
  • AI optional — increasingly, guests expect to ask questions and get answers immediately. AI handles this at scale.

Option 1: GuestsBoard TV Kiosk

GuestsBoard runs on a Raspberry Pi (about the size of a deck of cards) plugged into your property's TV. The TV becomes an always-on smart display showing WiFi, house rules, local recommendations, check-in/check-out info, and more. Guests can interact with it via the TV remote, and optionally chat with the AI Concierge from their phones.

Cost: $19/month subscription. Hardware is the cost of the Pi ($60–80) if you supply your own, or $179 for the Plug & Play device shipped ready to pair. There's no ongoing hardware subscription — the Pi draws about 5 watts and runs indefinitely.

The TV kiosk model has specific advantages over every other format. The TV is already in the room. Guests look at it passively. They don't have to pick anything up, find an app, or scan a code to see the basics. WiFi code, house rules, check-out time — it's just there. That's different from every tablet-based or phone-based solution.

Option 2: Dedicated Tablet Solutions

Several companies sell or rent tablets (usually iPads or Android tablets) pre-loaded with guestbook apps. The tablets mount to a wall or sit on a stand in the property. Costs range from $20–60/month depending on hardware rental vs ownership.

The problems with tablets in STR context are consistent and persistent:

  • They need charging — a tablet left on a charging stand works fine in theory. In practice, guests unplug them to charge their phones, and the tablet dies. You arrive for turnover and it's dead.
  • Small screen — a 10-inch tablet in a living room is not particularly visible. Guests walk right past it. The 55-inch TV in the same room is impossible to miss.
  • Theft and damage — an iPad is an attractive theft target in a way that a Pi plugged into the back of a wall-mounted TV is not. Insurance claims and replacements are a real operational cost for hosts using dedicated tablets.
  • They look like a guest left something behind — guests are often confused about whether the tablet belongs to them or the host.

Option 3: Phone-Based Guidebooks (Hostfully, Touchstay, etc.)

Digital guidebook platforms like Hostfully, Touchstay, and others give guests a link they can open on their phone. The host builds out a guide in a web-based dashboard, then sends the URL to guests via their booking platform message.

These are genuinely useful as a pre-arrival information delivery tool. But they fail at the in-property use case: guests have to remember the link, find it in their email, and open it on their phone when they have a question. Most don't. They text you.

Additionally, digital guidebook apps require guests to be onboarded before arrival. If a guest arrives and doesn't have the link, or can't find it, the whole system fails.

Option 4: Nothing (Just WiFi on a Card + Welcome Letter)

Many hosts use a laminated card with the WiFi password and a printed welcome letter. This is better than nothing and works for some guests some of the time. The weakness is that it doesn't scale — every update requires reprinting, the card gets coffee spilled on it, and it doesn't answer questions.

Why TV Kiosk Wins for STR

The TV is the one device in every short-term rental that is always on, always visible, always in the main living area, and never needs to be charged. Using it as the primary information surface for guests is the obvious answer once you see it — and GuestsBoard is the only product built specifically to do this for STR hosts.

Tablet solutions solve a real problem (better than paper) but introduce hardware headaches that don't exist with the TV model. Phone-based guidebooks are excellent for pre-arrival but fail at in-property use. Paper is only appropriate if you have zero hosting budget and very simple properties.

For most STR operators running one to ten properties, GuestsBoard at $19/month with a one-time Pi hardware cost is the most durable, lowest-maintenance, highest-visibility solution available. Ready to set it up? See the full kiosk setup guide for step-by-step instructions.
