Terms of Service

Please read these Terms of Service ("Terms") carefully before using GuestsBoard. By creating an account or using the service, you agree to be bound by these Terms. If you disagree, do not use GuestsBoard.

1. The Service

GuestsBoard provides a software platform that enables short-term rental hosts to display property information — including WiFi credentials, house rules, local recommendations, and an AI-powered guest concierge — on a TV or screen via a Raspberry Pi device ("Device"). The platform includes a host dashboard at app.guestsboard.com and a kiosk application that runs on your Device.

2. Eligibility

You must be at least 18 years old and legally able to enter into contracts to use GuestsBoard. By using the service, you represent that you meet these requirements.

3. Account Registration

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Notify us immediately at [email protected] if you suspect unauthorized access. You may not share your account or create accounts on behalf of others without authorization.

4. Subscriptions and Billing

Each property subscription supports up to five paired displays in total, shared across Raspberry Pi, iOS, and Android. Offline paired displays still count. Revoke an unused display in your dashboard to free a slot. Guest phones using a QR link and host dashboard access do not count. Contact us if you need more than five displays. Service pricing is the same across Pi, iOS, and Android. Using your own compatible device avoids buying hardware from GuestsBoard; the property subscription price stays the same. AI concierge is included, with usage shared across the property’s displays and guest access, subject to published allowances and limits.

GuestsBoard charges a subscription fee per property. Current pricing is displayed at guestsboard.com/#pricing. Fees are billed in advance via Stripe. The $499 TV bundle includes a configured Pi kit and the first year for one property from paid checkout, with no trial; renewal starts at $205.20/property/year for the first 3 properties with no new kit. SD Card Kit subscriptions are billed monthly or annually after their 30-day trial. New subscriptions use graduated monthly rates: $19 each for the first 3 properties, $15 each for properties 4–15, and $12 each for properties 16+. Annual billing saves 10%: $205.20, $162, and $129.60 per property within those respective tiers. Existing subscription prices and billing terms remain unchanged.

Each TV bundle reserves one annual property subscription, including while you finish setting up that property. Removing a property during the included year does not cancel that reserved subscription. Use billing settings to cancel renewal, or contact us before renewal to reduce the number of reserved subscriptions.

• Trials: If offered, free trials convert to paid subscriptions at the end of the trial period unless cancelled.
• Cancellation: You may cancel at any time. Your subscription remains active until the end of the current billing period. No refunds for partial periods.
• Price changes: We will provide 30 days' notice before increasing subscription prices for existing customers.
• Hardware: Physical device purchases (Plug & Play, Touchscreen Bundle) are non-refundable once shipped, except as required by applicable law.

5. Acceptable Use

You agree to use GuestsBoard only for lawful purposes and in accordance with these Terms. You must not:

• Use the service to display illegal, harmful, defamatory, or misleading content
• Attempt to reverse-engineer, hack, or disrupt the GuestsBoard platform or infrastructure
• Use the AI Concierge to generate or display content that violates Anthropic's usage policies
• Resell or sublicense access to the GuestsBoard platform without written permission
• Use automated scripts to abuse the API at rates that degrade service for others
• Display content that violates the intellectual property rights of any third party

6. Your Content

You retain ownership of all content you enter into GuestsBoard (property descriptions, house rules, local recommendations, etc.). By entering content, you grant GuestsBoard a limited, non-exclusive license to store, display, and transmit that content solely to operate the service for you.

You are solely responsible for the accuracy and legality of the content you display to guests. GuestsBoard does not review or moderate property content.

7. AI Concierge

The AI Concierge feature uses the Anthropic Claude API to respond to guest questions. The AI's responses are generated automatically and may not always be accurate. You should review the AI's configured system prompt and ensure it reflects accurate information about your property. GuestsBoard is not liable for incorrect AI responses.

By enabling the AI Concierge, you acknowledge that guest messages are transmitted to Anthropic's API in accordance with Anthropic's privacy policy.

8. Third-Party Integrations

GuestsBoard integrates with third-party services including OwnerRez, Stripe, and Anthropic. Use of these integrations is subject to those parties' terms and privacy policies. GuestsBoard is not responsible for the availability or accuracy of third-party data.

9. Intellectual Property

GuestsBoard, its logo, and the kiosk software are owned by GuestsBoard and protected by intellectual property laws. You may not copy, modify, or distribute the GuestsBoard software except as expressly permitted.

10. Disclaimer of Warranties

GuestsBoard is provided "as is" and "as available" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that defects will be corrected.

11. Limitation of Liability

To the maximum extent permitted by law, GuestsBoard's total liability for any claim arising from or relating to these Terms or the service shall not exceed the fees you paid to GuestsBoard in the 12 months preceding the claim.

In no event shall GuestsBoard be liable for indirect, incidental, special, consequential, or punitive damages, including lost profits or data loss, even if advised of the possibility of such damages.

12. Indemnification

You agree to indemnify and hold harmless GuestsBoard from any claims, damages, and expenses (including attorney's fees) arising from your use of the service, your content, or your violation of these Terms.

13. Termination

We may suspend or terminate your account if you violate these Terms, fail to pay amounts owed, or if we determine your use poses a risk to other users or the platform. You may terminate your account at any time by contacting [email protected] or through the dashboard settings.

14. Governing Law

These Terms are governed by the laws of the State of Arizona, USA, without regard to conflict-of-law principles. Any disputes shall be resolved in the courts of Maricopa County, Arizona, or through binding arbitration as mutually agreed.

15. Changes to These Terms

We may update these Terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of the service constitutes acceptance of the updated Terms.
